Executiva Ltd (Executiva) is the sole owner of data collected. We do not sell or rent data to other organisations. We are committed to protecting the privacy of your personal data. This statement summarises our policies regarding the collection, use and transfer of your personal data, the security measures we employ to protect such data and your right to access.

Scope

This Privacy Policy (Policy) only covers data collected through this website or by other means of communications in the course of our board and executive search, assessment and coaching services for clients, “Our Services”. This Policy does not cover any other data collection or processing, including, without limitation, data collection practices of other web pages to which we link.

From time-to-time, we may refer to this Policy in notices and consent requests, for example, related to candidate searches or surveys; under such circumstances, this Policy applies as modified in the particular notice or consent request. For additional information on our services please visit ‘Our Services’ on www.executiva.co. We provide these services for clients globally from our offices in the UK.

Personal Information collected

Collection Methods

When you communicate via email or via website or blog sign-up forms, we can collect and use your name and email address. Otherwise, you will know what data we collect through the website, messages or email, because you will have actively submitted it.

If you are engaged with us as a potential candidate or otherwise in connection with our delivery of board, executive search, assessment and coaching services, we can collect further information relevant to the execution of our services.

We urge you not to disclose to us any Personal Information that is likely to be of little or no relevance or may not even be legally considered as part of common hiring processes. This applies, in particular, to Sensitive Personal Information (see
definition below).

Collection Purposes, Use of Personal Information

We use the data we collect for the following general purposes (this list is not exhaustive): to respond to the request that you sent us, such as your request for information on our services, your job search or project; as part of our client services in executive search (see below for more detail of how we might use the information), to occasionally share news or research with you, or conduct surveys.

Please be aware that this website may contain links to third-party websites. This Policy applies solely to information collected through this website. It does not apply to, nor is Executiva responsible for, any content, privacy practices, or conduct of such websites. We encourage our users to be aware when they leave our website, to read the privacy policies of each and every website, including those that collect personally identifiable information.

Cookies

Cookies allow websites to measure their traffic activity. However, Executiva’s website server does not use Cookies to collect or store any personal information. But, third-party company Google Analytics measures site performance data for search engine optimisation, which includes the use of Cookies. See third-party privacy policies below.

Disclosures of Personal Information

We do not sell or rent your personally identifiable information to third-parties and do not share it with others. We freely share your information within Executiva.

Limited personal identifiable information is shared with third-party IT suppliers to Executiva. For details see below.

We may share your information as required by law or requests from law enforcement officials. Also, we reserve the right to use and disclose any information collected via the website that is not in personally identifiable form.

Security

Transmissions over the Internet are not completely secure or error-free and websites that link with us might be collecting other information. Please refer to their Privacy Statements (for more details on such sites see below in Use of Personal Information).

However, we do take appropriate measures, to protect your Personal Information from loss, misuse, unauthorised access, disclosure, alteration and destruction.

Your Rights

You have the right to withdraw your consent at any time or to access and request that we rectify or remove your record from our system(s).

When asked to remove a record from our database, Executiva will retain minimal Personal Information in order to prevent future contact, to keep a record of the information disclosed to our clients and to preserve Executiva’s interests in accordance with any applicable legal requirements.

If you withdraw your consent to our Policy you will not be able to be a part of a Executiva’s search, assessment, research or coaching projects. You may exercise these rights by contacting info@executiva.co. Executiva will comply with any request as required by law.

Use of Personal Information

Providing any Personal Information is purely voluntary on your part. It is generally true that, the more information you share with us, the better we are able to assess your potential suitability for one of our client’s searches. We urge you not to disclose to us any Personal Information that is likely to be of little or no relevance or may not even be legally considered as part of common hiring processes. This applies, in particular, to Sensitive Personal Information (see definition below).

If and to the extent you share Personal Information with us through the Site or other means of communications, we might follow-up with you using the contact details you may have provided in order to clarify any questions we might have or obtain complementary information from you.

We might also conduct assessments of your professional profile and perform searches for information on your personal and professional life publicly available via social media services (e.g. Facebook, Google, LinkedIn, Twitter, etc.), on the Internet or within data you have previously disclosed to us, provided that such information might be of importance to your qualification for a particular executive or similar management position.

Any resulting information will be processed as described below together with the Personal Information you initially provided us through our website or other electronic means of communications.

Your candidate Information will be processed by Executiva and might contain:

  • your contact details (name, address, phone number, email address, etc.);
  • your biographical data;
  • information on your professional education;
  • your educational credentials, professional diplomas and certificates;
  • your employment and compensation history;
  • data on your suitability for client opportunities we compile as part of our assessments of your professional profile;
  • information on your personal and professional life publicly available via social media services (e.g. Facebook, Google, LinkedIn, Twitter, etc.) or otherwise on the Internet that might be of importance to your qualification for a particular executive or similar management position; and
  • any Sensitive Personal Information you might choose to disclose to us.

As part of performing our services, your Personal Information may be processed for the purposes of:

  • executing searches for potential candidates on behalf of clients that have an opening for an executive or similar management position;
  • assessing your suitability for client opportunities;
  • informing you of open executive or similar management positions potentially suitable for you;
  • introducing you to clients as a candidate and potential future member of their management;
  • verifying your educational credentials, professional diplomas and certificates;
  • performing searches for information on your personal and professional life publicly available via social media services (e.g. Facebook, Google, LinkedIn, Twitter, etc.), on the Internet or within data you have previously disclosed to us, provided that such information might be of importance to your qualification for a particular executive or similar management position;
  • providing integration or coaching services on behalf of a client you have been placed with by monitoring your integration with the client, speaking with all parties involved and lending support for you to reach full effectiveness in your new role as soon as possible;
  • approaching you, after you have been placed with a client, as a client contact for the placement of other candidates or as a source of information about potential candidates for third-party clients;
  • ensuring that, after your placement with a client, you will not be recruited on behalf of another client unless you request consideration for other opportunities;
  • operating the databases your candidate information is stored in.

At no point will your Personal Information be matched, linked or otherwise connected with Personal Information collected through other components of the Site for purposes other than providing client services. Your Personal Information will be processed until you revoke your declaration of consent given when sharing Personal Information with us through our website or other means of communications. Upon the revocation of your declaration of consent, we will delete your candidate data from all databases.

Personal Information that might be shared with third-parties

The only reason for disclosing any Personal Information to third-parties are to fulfil our services vis-à-vis you as a candidate or client or to communicate news, research or surveys with you. Hence the third-party entities we might share your Personal Information with include:

  • Employees and subcontractors of Executiva
  • Clients
  • IT suppliers

Employees and subcontractors of Executiva

Via the databases, your candidate information will be available to consultants, administrative staff or any subcontractors of Executiva for the sole purposes of providing our services or communicate news, research or surveys with you.

Clients
Subject to our discretion, we might disclose excerpts of your candidate information such as your professional education and employment history with particular clients in order to confirm whether they might be interested in you as a candidate with respect to an opening for an executive or similar management position they have provided us.

The information disclosed will be limited to what is necessary for this purpose. We will not disclose the entirety of your candidate information or otherwise introduce you to any client in detail without first obtaining your separate and specific consent.

IT suppliers
Your Personal Information will be stored in databases located in the United Kingdom with back-up service provided by Microsoft Inc and Apple iCloud. We also have inhouse off-line back-up services.

In addition, we use web-based services for research and communication purposes with companies such as LinkedIn and DropBox. We use MailChimp services  for communication of news etc.

The information these organisations collect might differ from Executiva.

Non EAA located third-parties

Please be aware that may be some of the third-party service providers operating database servers and some of our clients we might disclose excerpts of your Personal Information to, are located in countries outside of the European Economic Area (EEA) and have not been found by the European Union to provide an adequate level of protection of personal data. As such, the level of protection of fundamental rights and freedoms would essentially not be equivalent to that guaranteed within the European Union.

Similarly, the countries your Personal Information, or parts thereof, might be transferred to in accordance with the above may not be found to provide an adequate level of protection by jurisdictions outside of the European Union. By declaring your consent as set forth below you therefore explicitly and unambiguously (a) agree that your Personal Information, or parts thereof, may be disclosed or otherwise transferred, as described above, to recipients in countries that may provide different, less or even inadequate protection of personal data as compared to the standards applicable in the jurisdiction you reside or work in or you contact us from, and (b) waive protection according to such standards with respect to the information so disclosed or transferred.

Sensitive Information definition

Sensitive information includes data relating to race or ethnic origin, political opinions, religious or similar beliefs, trade union membership, physical or mental health, sexual life, or criminal record.

Personal Information Pertaining to Children

Our website and our services are not intended to be used by minors and we do not want to collect information from minors. If a child’s parent or a guardian believes their child may have provided Personal Information to us, please write to us at info@executiva.co and we will delete that Personal Information, subject to the applicable law and this Policy.

By sharing your Personal Information with us, you explicitly consent to the processing of your Personal Information, including any Sensitive Personal Information you might choose to disclose to us, as described above. This includes, without limitation, the transfer of your candidate information, or parts thereof, to countries not providing an adequate level of protection of personal data. You acknowledge that you are under no obligation to provide your consent and that, if you choose to do so nonetheless, you may revoke your declaration of consent at any time with future effect by writing to us at info@executiva.co.
